I built adminpal with one goal - to take the burden of business admin away from busy tradespeople like my dad. The dread of outstanding invoices put off for days, receipts stuffed in the van, mileage never logged, taxes and deadlines looming - keeping on top of it all while juggling multiple clients was a constant strain on him. With my background in software development, I knew I could build something to genuinely make that go away. The idea was simple: make it as easy as pie, yet more powerful than anything out there. The result is a platform capable of handling the entire admin side of running a trade business - in whatever way works best for you.

Quotes, receipts, diary, money—one calm place so you stay on the tools, not on the laptop.
Quotes & invoices
Chase the work—not the paperwork that turns it into money.
Clients & Jobs shows what's moving this month: revenue, your target, and jobs sitting in awaiting approval, in progress, ready to invoice, or already done—so the next step is obvious, not buried in threads. When it's go-time, bulk-send invoice PDFs and keep bank lines in one place so you are not retyping the same details for every client.

On the drive home, between jobs, hands covered in grout — just message adminpal and it's done. No logging in, no navigating menus. It's there when the portal isn't convenient.

You can run everything through WhatsApp and barely open the portal.
Or stay hands-on and let automation take care of invoices and mileage.
Or mix both — and switch it up week to week.
However you use it, nothing gets missed and you save time every week.
There’s nothing complicated here, and no wrong way to use it.
Two minutes. No card required. Have a look around the portal — it's designed to feel obvious from the start.
Do it in the portal or just tell adminpal on WhatsApp. Either way takes about a minute, and adminpal immediately starts working in the background.
Scan a QR code and adminpal is in your contacts. Use it as much or as little as you like — it's there whenever the portal isn't convenient.
Let adminpal handle everything, manage it yourself, or meet somewhere in the middle. There's no right answer — just less admin, however you prefer to do it.

No contracts. No hidden fees. Cancel whenever you like.

You get an overview of jobs this month, estimated revenue, progress against your monthly target, and quick filters for jobs that are awaiting approval, in progress, ready to invoice, or already invoiced. Pick a client from the list to see their jobs, open a job to review quotes, expenses, and mileage linked to that work, and keep everything in one place instead of scattered notes.
The portal and WhatsApp talk to the same adminpal account. When your organisation has a WhatsApp join link configured, you can scan the QR code (or open the chat on your phone) and send plain-language requests — for example marking a job complete or adding an expense. The assistant applies changes to the same clients, jobs, and finances you see online, which is ideal when you are between sites or away from a desk.
Schedule is where planned work lives in the portal: you can see what is coming up, move visits when dates shift, and keep the team aligned on where they need to be. It complements the job list in Clients & Jobs by giving you a time-based view of the same underlying work.
Finances brings expenses, invoices, and related totals together so you are not jumping between spreadsheets and paper receipts. You can record materials and purchases, see how spend tracks against jobs, and stay closer to cash flow without extra tools.
Your account profile stores details the product uses in the real world: the mobile number can be matched to WhatsApp so assistant messages are tied to the right organisation, and the invoice company address and contact fields feed through to the documents and communications your clients see. Keeping them up to date reduces back-and-forth when you send a quote or invoice.
When mileage entries are linked to a job, the job view can summarise the journeys and total miles so you have evidence alongside the work — useful for reimbursements, tax records, and explaining travel on an invoice. You add or adjust mileage in the portal flow you already use; it rolls up on the job automatically.
